Corporate Data Management


Electronic data processing system storing data in a way of organizing smaller data units into larger units in a structured and hierarchical. In detail, the hierarchy of data from the data the smallest to the largest data can be shown as follows:
1. Field, which is the smallest set of data elements stored in a space (space) physical.
2. Record, is the number of fields that are grouped and form a unit of data, which also outlines the specific attributes of an entity.
3. File, is a collection of similar records. An example is the entire record of customer receivables are collected in one place called accounts receivable file
4. Data base, is a collection of files that make up a large set of data. With the gathered corporate data into the database, the coordination of data becomes easier so that the update process (updating) and data access into  smoothly.
In the past, the company will create a new file each time the program changes information. As a result the number of master files organized also increases. At present, by adopting the concept of a database, then change the information needs to be served without adding any new programs and files. General terms the concept of database you need to know is:

A. Approach to database (database approach). This approach views the data as an organizational
resource that should be used and managed for the entire organization is not only used and managed by a unit or a specific function. In general, differences in data management to the old way (file approach) and new ways (database approach).
2. Database management system (database management system / DBMS), is a program that manages and controls the data and interface (between the data and application programs).
3. Database system (database system), which is a combination of database, DBMS, and application programs that access the database via the DBMS.
4. Administartor database (DBA), is the person responsible for handling and database management.
5. Data warehouse is a database which is owned by a company. Data warehouse is built using advanced technology.
In a file-oriented system (oriented file system), the programmer must know the physical location and layout of records that are used in an application program.
Database approach knows two ways to view the data that is logical perspective view) and a physical point of view (physical view).

Logical view (logical view) deals with how users conceptually organize, view, and understand the relationships between data. Physical view (physical view) is concerned with how and where data is physically created and stored in a floppy disk, hard disk, tape, or other media.

Database management software system serves to connect between the way data is physically stored on disks and logical point of view of the data carried by each user. DBMS control database so that users can access, generate information, or update the data without having to know how data is physically stored.
Thus, users are only responsible for defining the logical data  they need to make changes without physical sight. In addition, the database administrator can also change the physical storage of data even if the user does not change the application program is concerned.

Employees processing the data using a physical point of view to streamline the use of data storage devices and other processing equipment. In this case the database administrator is responsible for physically storing data such that the logical requirements are met.

The use of a database system to manage the data of an organization provides several advantages, among others:
1. Data integration, information can be generated by combining the data with no borders.
2. Flexibility of the report, the report can be revised easily, and made according to needs without being tied to a schedule of regular reports.
3. Minimize repetition and inconsistency of data, because data elements are usually stored only once, repetition and inconsistency of data can be minimized.
4. Independence of the data, because data and program independent of each other, then both of  be changed without affecting each other. This simplifies data management and programming.
5. Centralized data management, data base approach, the data becomes more efficient  as database administrator is responsible for control, and manage databases.
6. Security, DBMS software have inherent surveillance system, such as a password that helps ensure data integrity.
7. Analysis of cross-functional relationships between elements in the database data.
